Flexible and Dynamic Permission Management

Datapolis Workflow Designer allows you to create any number of roles involved in the process. Participants in roles can be SharePoint users or SharePoint groups. Users can be dynamically added and removed from the role during the process.

Datapolis Process System is an open system. You can create and add your own activities and functions for later use in the designer when creating workflows.

Sharing Workflows

The created workflow can be assigned as “Shared”.
Each “Shared” workflow becomes available in the designer as a functionality and can then be used in other workflows. For example, if we assign a “Car Hire” workflow as Shared, we can use “Car Hire” functionality in other workflows (eg: “Delegations”).

Interface Integrated with SharePoint lists

The workflow user performs allocated assignments using an interface that is integrated with the SharePoint list. Using context menu, the user can select and perform workflow actions assigned to his/her role.

Clear Information About the Workflow phase

The Sharepoint list on which the workflow is defined has two additional columns. The first informs about the phase in which the workflow is, while the second one shows whether the workflow is processing or completed.

Permissions for Viewing/Editing list element

Datapolis Process System enables flexible management of permissions for Sharepoint list elements. The workflow user can only see the fields attributed to the role in which the user acts. These permissions can change dynamically depending on the process phase.

Launch Workflow Action and Fill the Form

Forms are closely related to workflow actions. Often, when launching an action, the user must also complete a form associated with it. For example, after refusing a request we may be asked to fill a form and state our reason for the rejection.

Workflow System Management

Central Administration

Central Administration facilitates the management of the workflow environment. In CA, you can define permissions for creating workflows, manage the scope of solutions, or manage substitutions. With CA, you can also control business report settings.

Visual Workflow History

Each workflow has an easy-to-read graphical history of its course. The history shows who and what has done to the process, where downtime occurred, what data was entered in the forms, and whether any errors occurred at each particular step of the process.

Advanced Reporting

Datapolis Process System has a module that allows you to create advanced business reports based on the history of completed and running workflows. The reporting tool has built-in basic reports. It also allows you to create new reports and modify existing ones.

Automatic Documentation Generator

The documentation generator reads through a workflow sequence, processes all the states and actions, and lists them with their responsible users in a single document. This way, the documentation is ready for reporting and compliance.

Monitoring of Performance

The Sharepoint environment requires special attention to performance. Datapolis Process System has a module that monitors and reports the performance of workflows. This module can point to places that slow down workflows or to potential threats to system stability.

Migration between Environments

Datapolis Process System allows you to migrate entire workflow solutions. It is possible to package selected lists (with or without data), workflows and workflow applications, and to create an installer ready for setup in any Sharepoint environment.
